e-Bookings templates save you time by reducing the need to re-enter information into the booking form for recurring shipment types. 

Using e-Booking templates

You’ll need to gain permission to use e-booking templates. 

How to gain permission

  • New users: You’ll be granted permission at the authorisation stage once you’ve registered.
  • Existing users: If you don’t already have permission to make allotment bookings then you’ll need to send an email request to shrfreightcst@qantas.com.au

1. Creating a new template

There are two ways to create a new template:

1. Saving a new template when creating a new e-Booking

2. Manage e-Booking templates

1.1 Saving a new template when creating an e-Booking

1. Enter a valid AWB from agent’s stock

2. Enter the information into the booking form that will be saved as a template. Enter a ‘Template name’ and select ‘Save as template’ located at the bottom of the form. Note that the template name can’t be the same as an existing saved template

1.2 Managing new e-Bookings templates

1. Enter 'e-Booking template' from the My Freight dashboard.

2. Select ‘Create template’.

3. Enter the information required to save the template. ‘Template name’ is mandatory but all other fields are optional.

Once entered, select ‘Save’. It will redirect you to a list of existing templates. It’s worth checking again that the template name is unique.

2. Using an existing template

There are two ways to use an existing template:

1. When creating a new e-Booking

2. Manage e-Booking templates

2.1 Using an e-Bookings form

1. Enter a valid AWB from agent’s stock.

2. Select ‘use booking template’.

3. You can search for a template by entering the template name in the search bar or searching via filters.

4. To use a template, select the three vertical dots at the end of the row and select ‘Book’. You’ll be redirected to the e-booking form, which will automatically pre-populate the saved information from the template.

5. Make sure all fields have been completed. Once completed, select ‘Book’ to finalise the booking.

2.2 Managing an existing e-Bookings template

1. Search for the template in which customer wants to make the booking with. Select the three vertical dots at the end of the row and select ‘Book’.

2. Enter a valid AWB. Once a valid AWB is entered, the portal will redirect you to a pre-populated e-Booking form based on the saved information from the selected template.

3. Make sure all fields have been completed. Once you’ve finished, select ‘Book’ to make the booking.
