Lodgement lists

In this guide, you’ll find all the information required to create, manage and delete lodgement lists online through the Qantas Freight website.

If you’ve worked with lodgements before, you can use this as a quick reference guide to check specific steps. Otherwise, there are detailed instructions that cover every part of the process for beginners.

1. How to find and sort existing lodgement lists

1. Log into the Qantas Freight portal

2. Select the ‘Lodgement lists’ tab on the My Freight page to search for a specific list

3. There are 10 filters to help you find and display existing lodgement lists. Here’s what each one does:

Lodgement list created between - This filter provides a date range showing when a Lodgement was created. By default, the date range is the current date + 1 day. For example, if today’s date is 09/07/2019, then the default date range will be 09/07/2019 - 10/07/2019. The date range can’t be greater than 14 days (an inline error message will appear if it is).

Lodgement status - This filters lodgements by their status: New, Commenced, Arrived, Completed or All. 

Lodge at port - Use this to filter by port of lodgement. For example, if you enter ‘Sydney’ here, only lists being lodged in Sydney are shown.

From (HH:MM) - This looks at the ‘from’ time when a lodgement is made. You need to use a 24-hour format here (e.g. 09:50). 

To (HH:MM) - This looks at the ‘to’ time when a lodgement is made. You need to use a 24-hour format here (e.g. 09:50). 

Lodgement ID - Since Lodgement ID is a unique identifier, this search should return a single lodgement list.

Vehicle registration - This filter uses the vehicle registration that’s assigned to a lodgement. 

Air waybill number ***New filter*** - This filters lodgement lists by their AWB numbers. 

ULD number ***New filter*** - This filters lodgement lists by their ULD numbers.

Lodgement created by user ***New filter*** - This allows you to find lodgement lists that are created by a specific user.

2. Viewing a lodgement

How to open a specific lodgement list

1. Enter the filter information that matches your search. 

2. Select ‘Apply filters’. (You can empty all fields with the ‘clear’ button.)

3. When you have the results, select the action item to the far right of the row then ‘View lodgement’ to see the details of your chosen list.

 

Your lodgement summary

Once you’ve opened a specific lodgement list, you’ll be able to see all its AWBs, as well as a top-level summary of each booking.

From this screen, you can also add AWBs, notify a truck driver of the lodgement list details or delete the lodgement list altogether.

Viewing an AWB in more detail

From the lodgement summary, you can also view, print and remove AWBs from the list. To do this, simply select the action icon of your chosen AWB, then select:

  • View booking to see a detailed view of the booking, and further information about the AWB. 
  • Print air waybill for a printable PDF version of the AWB document. 
  • Remove to delete the AWB from the lodgement list. A confirmation box will appear before the item is removed.

2.1 Adding AWBs

There are two ways to add additional AWBs to a lodgement list. 

Before you start, check that the shipment details for your lodgement are correct. Once you’ve added an AWB to a lodgement list, you won’t be able to amend or update the shipment details for that booking.

 

Option 1 – Adding an AWB from the lodgement list screen

1.  Enter the filter information that matches your search. 

2. Select ‘Apply filters’. (You can empty all fields with the ‘clear’ button.)

3. When you have the results, select the action item for the list you’d like to amend. 

4. Enter the relevant filter information, then hit ‘Apply filters’ to find your chosen AWB. To add the AWB to your lodgement list, check the corresponding box then select ‘Save lodgement list’. 

Note: In order to be added to a lodgement list, an AWB must:

  • Not be in an existing lodgement list
  • Not be accepted (i.e. the AWB status must be ‘NEW’)
  • Have the same origin as the lodgement port.

If an AWB doesn’t meet these criteria, an error message will appear and you’ll be guided to select a different AWB.

5. Once you’ve successfully added the AWB, a confirmation box will appear and you’ll be redirected to the detailed lodgement screen.

Option 2 – Adding an AWB from the detailed lodgement screen

1. Select ‘+Add AWB’.

2. Enter the filter information that matches your search, and select ‘Apply filters’.

Note: In order to be added to a lodgement list, an AWB must:

  • Not be in an existing lodgement list
  • Not be accepted (i.e. the AWB status must be ‘NEW’)
  • Have the same origin as the lodgement port.

If an AWB doesn’t meet these criteria, an error message will appear and you’ll be guided to select a different AWB.

3. To add an AWB to the lodgement list, check the corresponding box and select ‘Save lodgement list’.

4. Once you’ve successfully added the AWB, a confirmation box will appear and you’ll be redirected to the detailed lodgement screen.

2.2 Notifying a truck driver

You can send lodgement details to an authorised truck driver by email or SMS. Here’s how:

1. From the detailed lodgement screen, select ‘Notify Driver’.

2. Enter the truck driver’s information then select ‘Notify Driver’. 

3. The driver will receive an email and/or SMS with the lodgement list details – and you’ll receive an email to confirm this.

3. Creating a new lodgement

Before you start, check that the shipment details for your lodgement are correct. Once you’ve added an AWB to a lodgement list, you won’t be able to amend or update the shipment details for that booking.

 

1. Log into the My Freight portal and select ‘Lodgement list’.

2. Select ‘Create lodgement list’.

3. Enter the filter information that matches your search, and select ‘Apply filters’. Then choose the AWB you’d like to add to the lodgement list by checking the corresponding box. 

Note: In order to be added to a lodgement list, an AWB must:

  • Not be in an existing lodgement list
  • Not be accepted (i.e. the AWB status must be ‘NEW’)
  • Have the same origin as the lodgement port.

If an AWB doesn’t meet these criteria, an error message will appear and you’ll be guided to select a different AWB.

If you select an AWB that has multiple ULDs, you’ll be directed to choose which ULDs you’d like to add. You can add one, some or all of the ULDs shown, as long as they’re not on another lodgement list. 

4. Editing weights and ULDs 

1. Find the lodgement list you’d like to edit by entering the relevant search criteria, and selecting ‘Apply filters’.

2. Once you’ve found the lodgement list, click the action item and select “Edit weight and ULD”. 

3. On this screen, you can update the number of pieces in a ULD, change the gross weight of the unit or edit the ULD number.  

Adding additional ULDs to a AWB

You can add extra ULDs to an AWB by selecting “+Add ULD”. An additional row will appear where you can enter the number of pieces, weight and ULD number. To remove the newly added row, hit ‘Remove ULD’.

Changing a loose shipment into a ULD

You can change your shipment type from a loose shipment to a ULD by selecting ‘Change to ULD’ in the loose shipment booking. To revert this change, hit ‘Undo’.

4. The lodgement list will be disabled while your changes are processed, but you can view other lodgements or continue to use the My Freight portal while you wait. You’ll receive a confirmation message when the update is complete.

5. Printing a PDF lodgement list

1. Find the lodgement list you’d like to print by entering the relevant search criteria, and selecting ‘Apply filters’.

2. Once you’ve found the lodgement list, click the action item and select “Print”.

6. Deleting a lodgement list

There are two ways to delete a lodgement list:

Option 1 – Delete from the lodgement list screen

1. Find the lodgement list you’d like to delete by entering the relevant search criteria, and selecting ‘Apply filters’.

2. Click the action item and select “Delete”.

3.  A confirmation box will appear. Select ‘Cancel’ to undo the deletion and return to the detailed lodgement screen. Or, select ‘Delete’ to confirm the deletion and return to the main lodgement screen. 

Option 2 – Delete from the detailed lodgement screen

1. Select ‘Delete Lodgement’ at the bottom of the page.

2. A confirmation box will appear. Select ‘Cancel’ to undo the deletion and return to the detailed lodgement screen. Or, select ‘Delete’ to confirm the deletion and return to the main lodgement screen.
